How to Scan a Document on Mac Using Print Center


Have you ever needed to save a paper receipt, a signed form, or a cherished family photo onto your computer? Scanning documents on a Mac is incredibly straightforward once you know where to look. While many people think they need a specialized app from their printer’s manufacturer, macOS actually has a built-in tool that makes the process effortless:

Print Center (sometimes called Printers & Scanners).


This guide will show you exactly how to scan a document on Mac using your standard printer setup, without any unnecessary frustration or confusing software downloads.


Setting Up Your Scanner in macOS

Before you begin scanning, ensure your physical all-in-one printer/scanner is turned on and connected to your Mac via a USB cable or the same Wi-Fi network.

Step 1: Open Printers & Scanners Settings

  1. Click the Apple menu in the top-left corner of your screen. 

  2. Select System Settings (or System Preferences on older macOS versions).

  3. Scroll down the left sidebar and click on Printers & Scanners.

  1. In the list on the right, look for the name of your printer.

  2. Double-Click on your printer to open its specific settings page.

  3. If your device has scanning capabilities, you will see a button that looks like a flatbed scanner. Click it.

How to Scan Using Print Center on Mac

Once the scanner window opens, you are ready to digitalize your paperwork. Follow these simple steps for a flawless scan.


Step 1: Prepare Your Document

Lift the lid of your scanner and place your document face down on the glass grid. Align it with the corner markings (usually indicated by an arrow) to ensure it isn’t crooked. Close the lid gently.


Step 2: Use the Overview Feature

When you first open the scanner window, your Mac might automatically take a quick look at the glass. If it doesn't, click the Overview button at the bottom right. This generates a quick preview of your document so you can make sure it looks right before saving the final file.


Step 3: Customize Your Scan Settings

On the right-hand side of the Print Center window, you can adjust how your file is saved. For the best results, look for these specific options:

  • Kind: Choose Color for photos/brochures, or Black & White for standard text pages to save file space.

  • Resolution: For basic text, 300 dpi (dots per inch) is standard and perfectly readable. For high-quality photos, you might want to raise this to 600 dpi.

  • Scan To: Pick where you want the file to live. Saving to your Desktop or Documents folder makes it incredibly easy to find later.

  • Name: Give your document a clear name (e.g., Tax_Receipt_2026) so you aren't searching for a generic file name later.

  • Format: Select PDF for documents or text forms. Select JPEG if you are scanning a photograph.

Once everything looks perfect in the overview and your settings are locked in, simply click the Scan button in the bottom right corner. You will hear your scanner go to work, and within a few seconds, your new digital file will appear in the folder you selected.

Helpful Tips for a Frustration-Free Scan

  • Combining Multiple Pages into One PDF: If you are scanning a multi-page packet, look for a checkbox on the right side that says "Combine into single document." This keeps your files neatly organized instead of creating five separate image files.

  • Cropping the Edges: In the Overview window, you can click and drag a dotted bounding box around just the portion of the page you want to save. This is perfect for scanning small items like index cards or business receipts.

  • Keep the Glass Clean: If you notice small lines or spots on your digital scans, use a soft, lint-free microfiber cloth to gently wipe the scanner bed glass.
